Handling orders modified after warehouse release
Handle late order edits by checking live warehouse work, confirming a stop or revision and reconciling the final parcel and order.
When an order changes after warehouse release, find the active warehouse work before changing its instruction. Hold the affected work where possible, establish what has physically happened, and get an acknowledged stop or revision. A storefront edit alone does not tell a picker or packer to change course.
Match the request to the physical position
Keep the original order and line references, the requested edit, its authorisation and its time. Check whether the affected goods are untouched, being picked, picked, packed, labelled or already handed to a carrier. A quantity reduction, new item, address change and cancellation may each need a different response.

These are decision points, not a promise that every WMS exposes each state or permits a change there. Preserve both the original instruction and the outcome so staff can explain the final parcel.
Response Options by Physical Position
- Work Not Started
- Instruction can be cancelled or revised before worker begins.
- Pick in Progress
- Worker must stop and acknowledge affected lines.
- Packed or Labelled
- Parcel may need reopening, relabelling, or holding for review.
- Carrier Handover Complete
- Only customer service actions remain possible (e.g., refund, replacement).
Get a confirmed stop or revision
Send the warehouse the stable order, fulfilment-part and work references with the requested action. Record whether it accepts, rejects or cannot yet confirm the request.
If the response is uncertain, inspect the work and physical parcel before issuing replacement instructions. Otherwise, the original pick may remain active while revised work starts elsewhere.
Shopify's fulfilment-service workflow distinguishes a cancellation request from the service's response. Check both the service acknowledgement and the physical position. Other platforms need an equivalent route appropriate to their own workflow.
Reconcile what is still owed
For a quantity reduction, compare the revised quantity with units already picked or packed. For an added item, decide whether it can join the current parcel or needs new work.
For an address change, check the address on any active label before handover. For a cancellation, keep the customer decision open until the warehouse confirms whether shipment stopped.
Update store and warehouse records consistently. Include remaining quantities and the disposition of goods removed from a pack.
Close with evidence
Keep the request, warehouse response, revised work reference, final parcel contents, active label and customer-facing result together. Leave the case open if those records disagree. A cancellation badge or revised order total does not by itself prove that physical work stopped.
